Job Summary:
 


If selected for this position you will serve in Executive Secretariat and Ombudsman. The Ombudsman is charged with resolving issues from external customers such as timely and effective processing of retirement claims, health benefits claims disputes, and other requests for information.
The Ombudsman will participate in issues raised by sources both internal and external to the Office of Personnel Management. The incumbent will work within an office responsible for providing a neutral, independent and confidential resource to assist in addressing and resolving issues from external customers such as timely and effective processing of retirement claims, health benefit claim disputes, correspondence and other requests for information, or customer service matters.


Key Requirements:

Suitable for Federal employment, determined by a background investigation
Males born after 12-1-59 must be registered for Selective Service


Major Duties:

Serves as the initial contact to incoming callers and visitors to the Ombudsman's office. Directs calls appropriately, refer callers to the Ombudsman's website for assistance, and/or completes Request for Assistance sheets for callers.
Supports the Assistant Ombudsman in managing the online database to ensure all requests for assistance are entered into the database. Each request and inquiry is acted upon within a reasonable time frame, followed up on, and completed as established by the Ombudsman. The pertinent information is tracked within the database.
Acts as a liaison between the Ombudsman and the staff by providing accurate, timely advice on procedures, reports, requirements, and other matters necessary to implement Ombudsman policies, procedures, directives and instructions.
Manages and monitors the flow and timeliness of responses making sure due dates are met.
Prepares responses and written correspondence for the Ombudsman and Assistant Ombudsman signature.
Serves in a support capacity which requires maintaining information of confidential natures, e.g., personally-identifiable information (PII), privileged, Privacy Act material, etc.


Qualifications:

For the GS-7: You must have at least one year of related experience equivalent to the GS-6 Federal grade level. Related experience includes such duties as:
serving as the initial contact to incoming callers and visitors referring callers to the appropriate point of contact;
managing and monitoring the flow and timeliness of responses, making sure due dates are met and
data entry into a database system.
For the GS-8: You have at least one year of related experience equivalent to the GS-7 Federal grade level. Related experience includes such duties as:
managing and monitoring the flow and timeliness of responses;
making sure due dates are met providing accurate and timely advice on procedures, reports, and other matters necessary to implement office policies and procedures and
entering data and updating and running reports from a database system.
For the GS-9: You must have at least one year of related experience equivalent to the GS-8 Federal grade level. Related experience includes such duties as:
serving in a support position to higher level management which requires maintaining information of a confidential nature
managing and monitoring the flow, timeliness, and follow up of responses preparing responses to correspondence
performing basic research updating, manipulating data, and
running reports from a database system to provide statistical data reports.
