Requirements
Master's degree in Higher Education Administration or related field
and four years of related experience. Certification by the
International Ombudsman Association (IOA) and completion of IOA basic
course required within the first year of employment. Additional
experience may be used on a one-to-one basis to offset the educational
requirements. Salary commensurate with experience. Grade EI
Position Description
(Position is 80% FTE.) The Ombudsperson will engender awareness and
skill development in the areas of conflict resolution, communication,
and civility. In a neutral and impartial role, the Ombudsperson will
assist all UofL faculty and staff to resolve complaints with the goal
of promoting alternatives to adversarial processes. The office will
also assist graduate and research teaching assistants in non-academic
issues. While independent, the Ombuds Office is administratively
housed in the Office of the Provost and will be reviewed annually by
and report to a three person committee composed of the Chairs of the
Faculty Senate and the Staff Senate, and an appointee from the School
of Interdisciplinary and Graduate Studies.
Job responsibilities - Overview
1. Review periodically the patterns of complaints and formal
grievances. Make appropriate recommendations for policies or
practices that would reduce or eliminate recurring grievances. If
appropriate, recommend creative ways to address these concerns.
2. Provide early warning of new areas of organizational concern,
upward feedback, critical analysis of systemic need for improvement,
and make recommendations for systems changes.
3. Act as a liaison between individuals or groups and the campus
administrative structure, serving as a communicator or informal
facilitator, as appropriate.
4. Serve as a campus resource for officials in formulating or
modifying policy and procedures, raising issues that may surface as a
result of a gap between the stated goals of the University and actual
practice.

1. Communicate and provide on-going education about the office's role
to all potential inquirers as well as to the university leadership.
2. Design and conduct training programs for the campus community in
dispute/conflict resolution, negotiation skills and theory, civility
and related topics.

1. Supervise office staff, as necessary. Formulate, manage and
monitor the overall goals, direction, programs, and budget of the
office
2. Ensure that the integrity of the office is maintained by all Ombuds
office staff through independence, fair process, neutrality,
impartiality, confidentiality and timely attention to the resolution
of issues while treating people with dignity and respect.
Job responsibilities - Dispute resolution
1. Provide impartial and confidential consultation to University of
Louisville employees.
2. Remain independent and neutral
3. Assist employees in interpreting university policies and procedures
4. Provide assistance to employees by clarifying issues and generating
options for resolution.
5. Facilitate the employee's assessment of the pros and cons of
possible options
6. Coordinate mediation services
7. Provide referrals to other resources whenever possible.
8. If direct action by the ombudsperson may be an appropriate option,
obtain the employee's agreement and permission before proceeding.
a. Conduct appropriate informal fact-finding in order to better
understand an issue from all perspectives while maintaining
confidentiality.
b. Consult with program directors/faculty to develop cooperative
strategies for dispute resolution.
c. Consult with all parties to clarify and analyze problems, focus
discussions, and develop a mutually satisfactory process for
resolution.
